Job Duties – Required Skills
Office Management/ Administration /Reception /Projects
• Manage office systems: reception phone, main email, customer service, cleaning staff, recycling, inventory & ordering of office supplies etc. Troubleshoot/install new technology
• Prepare/process accounts payable/receivables, payroll, banking, insurance, etc
• Compile documentation, submit & track claims to obtain reimbursement funds for various projects from various grant programs
• Setup for new staff & maintain: email, payroll, benefits, computer equip, etc
• Arrange office meetings/ meals, compile board packages, take minutes
• Maintain files – email/ paper/ accounting. Develop/maintain directories/databases
• Updates to website, assist with production of monthly newsletters
• Writing & editing letters or reports, research as required
• Scheduling using shared calendar, maintain list of events staff are attending, arrange travel requirements
• Host educational events/seminars: book venue/catering, equipment, speaker, accommodations, maintain budget, invites, registration, setup presentations, displays/equip, and assist will all aspects of events along with the EDA team
Qualities
Our assistant would have thorough knowledge of Outlook, Word, Excel, PowerPoint, and post secondary education is an expectation. Education and experience in MS Office & Simply Accounting or other computerized accounting would be a strong asset. We are looking for someone who has a curious personality, will go the extra mile to assist a client, and is well integrated into the community, with broad based regional community knowledge. If you are very organized, thrive on multi-tasking, enjoy working with high-energy women and you have an interest in business and local political happenings, you would suit our office well. No need to follow up on tasks with our Assistant. Do you have experience in events organization? Are you a stickler for details in words or numbers, with a professional eye to ensure every aspect of our office is impeccable? Knowledge of marketing, public relations, non-profit organizational structures and management of office information systems would be appreciated.
